Assistant Student Records Officer
Location: London (Holborn)
Department: Student Records Office
Reporting to: Student Records Manager
Hours of work: 37.5 hours per week between the hours of 08.30 – 19.15. Weekend cover will be required, overtime will be offered as appropriate
Job Purpose:. Responsible for assisting to guide enrolled students through BPP’s registration processes and delivering the highest level of customer service possible thereafter by offering an excellent front of house, one-stop-shop service.
Main Duties & Responsibilities
Enrolment to Registration
You will:
- Assist with collection and processing of the documentation needed to register a student
- Assist with distribution of supporting documentation in-line with student and programme pre-registration needs
- Assist with the maintenance and updating of the Welcome Intranet, ensuring all sign-off processes are adhered to
- Assist with the processing of information gathered at student induction including timely production of ID cards
- Assist with the production of accurate lists for Knowledge Services detailing students IT needs
- Assist with the accurate updating of student records
- Assist with the communication of IT account information to students
- Be responsible for the despatch of essential communications to students in-line with the agreed communications plan
Registration and distribution of materials
Responsible for:
- Assisting with the distribution of materials as directed including programme materials, assessment briefs, elective materials etc
- Arranging replacement materials as required
Front of house - one stop shop service
This is a customer-facing role demanding the highest level of service delivery and professionalism at all times to:
- Provide a customer focussed, flexible and responsive front desk service adhering to departmental customer service standards at all times
- Reduce the waiting time of our customers to meet departmental customer service standard guidelines
- Proactively build and maintain your knowledge to the highest standard of all BPP College’s products and services available to students
- Handle and provide a satisfactory solution to all customer enquiries including elevating enquiries to management as appropriate
- Assist with the management of locker keys
- Assist in producing documentation and maintaining systems supporting the needs of students including Transport for London, Student Status Letters etc
Database management
- Assist in maintaining an accurate record of information relating to students centrally including personal details, attendance, documentation provided, correspondence etc
- Assist with the production, maintenance and regular distribution of accurate registers (containing student photos) using the Student Records Database
- Assist with the in organisation of student groups
- Assist with the monitoring of attendance and punctuality using the Student Record Database
- Assist with modular & elective monitoring
- Assist with the management of references
- Assist with the accurate recording of cancellations, transfers and deferrals
General Responsibilities
- Assisting with the management of the Student Records Office emails
- Assisting with updating relevant content on the Colleges Virtual Learning Environment, Intranets and Website
- Assisting with the delivery of BPP’s Student Welfare Strategy by assisting across all areas of the department where required

- Ensuring accuracy of printed materials and online communications by using the formal sign-off process where required
- Working in accordance with the Data Protection Act and to ensure that all new systems are reported to your Data Protection Controller
- Undertaking such other duties as may be reasonably expected

Education & Experience
You must be:
- Graduate calibre
- Experienced within a customer facing environment
- Experienced in basic Microsoft Outlook, Word, Excel, and Access
