Facilities Assistants (3 positions)

Location: Fitzwilliam House-20-22 St Mary’s Axe, London.

Hours: Early Shift Monday to Friday 6.30am-3.00pm, Late Shift Mon-Thurs 2.30-11pm, Fri 1.30-10pm.  Weekend cover as part of rota.

Reporting to: National Head of Facilities, BPP College of Professional Studies

Job Purpose: To provide proactive building and facilities services , ensuring exceptional customer focused standards are delivered at all times.

Key Responsibilities and Accountabilities

Building and Services

  • Carry out daily building checks to ensure excellent housekeeping & standards of health & safety are maintained at all times.
  • Carry out routine maintenance and implement a prompt response to any reactive maintenance issues arising to ensure smooth running of the campus.
  • Active monitoring of all contract services provided, (e.g. Cleaning and Planned Preventative Maintenance).
  • Ensure the smooth running of Audio Visual Services initiating IT support and AV planned and reactive maintenance to ensure seamless delivery of courses.
  • Responsible for Security of demised premises including key holding. On call for out of hours emergency 24/7.
  • Postage-Deliver and frank internal and external post.  Produce monthly reports on outgoing post.
  • Maintain accurate records as directed by the Facilities Manager.

 

Health & Safety/Disaster Recovery

  • Act as a Fire Marshal 
  • Active housekeeping and constant monitoring.
  • Carry out risk assessments and implement change.
  • Provide H&S induction training for staff.
  • Maintain all necessary Health & Safety paperwork as directed by Facilities Manager.
  • Disaster recovery plan activity-ability to deal with emergency situations with a logical approach.

 

Customer/Support service duties to include but will not be limited to:

  • Cover reception as part of a rota (includes weekends)
  • Provide the first point of contact for customers building queries and liaise with FM team to ensure prompt resolution.
  • Ensure onsite customer service queries and issues are delivered to an exceptional standard both promptly and efficiently as directed by relevant divisions procedures.
  • Answer and transfer internal and external telephone calls
  • Provide classroom support including, room set up, furniture configuration changes, stock management and distribution of course material requirements – ensure timely and accurate delivery of course materials to relevant scheduled courses.
  • In conjunction with marketing team, provide support for BPP events e.g. Open days.
  • Liaise with Strategic Timetabling on room bookings when required.
  • Other support services - Stock control (e.g. stationery), internal office moves, build project support, deliveries, catering support.
  • Cover colleagues’ absence as directed by Facilities Manager

 

General Responsibilities and Accountabilities for all Team Members

  • To be an ambassador for BPP both internally and externally communicating and promoting the vision and direction of the company with passion
  • To demonstrate key desired behaviours appropriate to role as agreed with Facilities Manager.
  • To maintain high standards of work and professionalism at all times, particularly with regards to accuracy and presentation in both written and verbal communication
  • To work in partnership with other team members
  • To support the Facilities Manager in business planning and budgeting activities
  • To make suggestions to improve the working situation within own area of work and BPP as a whole
  • To follow data protection guidelines and ensure customer confidentiality is maintained at all times
  • To Deputise for Facilities Manager
  • To undertake any other duties required.

 

Skills Knowledge and qualifications required

Essential

  • Minimum 2 years experience of working within a FM team
  • Good interpersonal skills
  • Customer service experience
  • Well organised and self-disciplined with ability to prioritise under pressure
  • A Pro-active and enthusiastic team player
  • Ability to work independently and take on responsibility
  • Ability to work under pressure, sometimes to short deadlines
  • Attention to detail
  • Well organised, conscientious, flexible and reliable
  • Computer literacy, experience of using Microsoft Office; and
  • Must be flexible and prepared to work unsociable hours/weekend as necessary

 

Desirable

  • Fire Marshall
  • First Aid Trained
  • Health & Safety qualification
  • Experience of Mitel Phone system (training will be provided)
  • Manual handling and ladder trained
