Receptionist / Administrator
Location: Fitzwilliam House-20-22 St Mary’s Axe, London.
Hours: Monday to Friday 8-4.30pm. Weekend cover as part of rota.
Reporting to: Facilities Manager, BPP College of Professional Studies Limited
Job Purpose: To provide a professional, efficient and welcoming reception area, ensuring exceptional customer focused standards are delivered at all times. To provide efficient and accurate administration support as required.
Key Responsibilities and Accountabilities
Customer Service & support services, duties will include but not be limited to:
- Meeting and greeting customers with a helpful, friendly and efficient manner
- Ensure the reception area is kept clear and tidy at all times
- Provide a customer focused, flexible and responsive front desk service adhering to departmental requirements at all times
- Ensure onsite customer service queries and issues are resolved to an exceptional standard both promptly and efficiently as directed by relevant divisions procedures
- Handle and provide a satisfactory solution to all customer enquiries including elevating enquiries to Management as appropriate
- Act as a Super User for the Mitel phone system, to assist with the set up and to provide phone functionality training for new starters
- Manage bookings for onsite meeting rooms, provide refreshments/make provision for catering requests, log incoming deliveries and couriers in log book and advise recipient, organise couriers/taxis as required, operate a lost property system for the campus
- Answer and transfer internal and external telephone calls
- Provide the first point of contact for customers building queries and liaise with Facilities Manager/Assistants to ensure a prompt resolution
- Cover colleagues’ absence as directed by Facilities Manager.
Health & Safety
- Act as a Fire Marshall
- Provide H&S induction training for BPP staff.
- Maintain all necessary Health & Safety paperwork as directed by Facilities Manager.
- Ability to deal with emergency situations with a logical approach and in accordance with the disaster recovery plans.
Administration Services
- Undertake general administration tasks as directed by the Facilities Manager.
- Provide administrative support to the College’s Student Records Team assisting with:
- Enrolment, registration and database management.
- Pro-actively build and maintain your knowledge, to the highest standard, of all BPP College’s products and services available to students.
General Responsibilities and Accountabilities for all Team Members
- To be an ambassador for BPP both internally and externally communicating and promoting the vision and direction of the company with passion
- To demonstrate key desired behaviours appropriate to role as agreed with line manager/team leader
- To maintain high standards of work and professionalism at all times, particularly with regards to accuracy and presentation in both written and verbal communication
- To work in partnership with other team members
- To support the line manager/team leader in business planning and budgeting activities
- To make suggestions to improve the working situation within your own area of work and BPP as a whole
- To follow data protection guidelines and ensure customer confidentiality is maintained at all times
- To comply with all aspects of BPP’s business policies and procedures particularly H&S, data protection, equality and diversity
Skills Knowledge and qualifications required
Essential
- Minimum 2 years front of house/administrative experience
- Outstanding customer service skills
- Well organised and self-disciplined with ability to prioritise under pressure
- Strong communication skills, both verbal and written
- A clear telephone voice with a polite,tactful and friendly attitude
- Able to build good working relationships across all levels
- Able to work in a team and independently
- Accuracy and good attention to detail
- Well organised, conscientious and reliable
- Proficient user of Microsoft Office.
Desirable
- Fire Marshal
- First Aid trained
- In depth knowledge of BPP products and services
- Experience of Mitel phone system (training will be provided)
